Item Name

App Items - are entries with a specific set of fields. Items are displayed on the app page. Item names can be specified manually or generated from a template.

Only the users included in the Administrators group can configure item name settings.

To configure item name settings, click __________.png next to the app name and select Item Name.

In the opened window, select one of the two options: Key variable or Generated from template.

Key variable

Select this option if you want users to enter the name of each item manually.

Key variable is a required field, marked with the ___________.png icon on the creation form, for example, Name.

It is specified when creating an app and displayed on the app item form if Key variable is selected.

Users fill in this field manually when creating a new item. Its value is used as the item name, which is displayed on the item page and on the app page in tiles/table.

Generated from template

In this case, the item name will be generated automatically, by your template.

You can use app fields, their nested properties, and any text to create a template.

Click {+} on the right in the Generated from template field. Select the properties you need from the appeared list.

You can select from system fields, which are the same for all apps, and custom fields, which you have added to the app when configuring its form.

System fields:

  1. Identifier - the ID of the item. It is used for integrating QuickBPM with third-party systems.
  2. Index Number - the index number of the item. It is assigned according to the counter settings.
  3. Created - the creation date of the item. By default, it is specified as 2018-12-04 10:56:06 +0000 UTC. You can change the date format using the DateTime function.
  4. Author - the name and last name of the user, who created the app item. This field has such nested properties as Full Name, Email, Hire Date and Birthday. These can also be used in the template, for example, to specify only the user's last name.
  5. Changed - the change date of the item. By default, it is specified in full. You can change the date format using the DateTime function.
  6. Change Author - the name and last name of the user, who was the last to edit the app item. This field has the same nested properties as Author.
  7. Deleted - the date the item was deleted. By default, it is specified in full. You can change the date format using the DateTime function. When deleting the item, the date deleted will be added to its name and you will see it after applying the Removed filter.

DateTime function

If you click {f} on the right in the Generated from template field, you will be able to add the DateTime function to the template.

It is used to change the date format in the fields Created, Changed and Deleted.

By default, these dates are displayed in the full format, specifying the year, month, date and the exact time. To change this format, add the DateTime function to the template and add the required field instead of the underscore symbol.

Now you can define a custom date format, e.g. only day, month, and year. To do so, manually change the format to {DateTime("DD-MM-YYY",_)}:

In this case, an item name will look like this:

After you have selected all the necessary fields, click Save. Item names will be generated based on the template.

Can I change the naming method?

You can change the selected naming method. In the app menu, select Item Name and choose the desired method.

If you select Generated from template, the names created earlier manually will remain the same and will change after editing the items according to the template.

If you select Key variable, the key variable field will be added to the app form. You will be able to edit the names, generated from the template.
